Privacy Policy

General
The International Law Association (Australia Branch) (ILA (AB)) is a registered charity (ABN: 83 512 477 283). It is a branch of the International Law Association (ILA), which is based in the United Kingdom.  Its aims and objectives are the study, clarification, and development of international law, both public and private, and the furtherance of international understanding and respect for international law.  Except for resolutions passed at biennial conferences, any view expressed at its events and in its publications are those of individual members, speakers or authors and not of the ILA.
The ILA (AB) recognizes the importance of the protection of data and has committed to protection of your personal information. However, the ILA(AB) is a small business not regulated by the Privacy Act 1988 (Cth). We set out how we protect your privacy in this Policy.
The ILA (AB) is also committed to compliance with the Data Protection Act 2018 UK (UK GDPR) given that the ILA (AB) transmits information to the headquarters of the ILA in the United Kingdom and the ILA is required to comply with the UK GDPR.  The ILA’s privacy policy can be found here

Your Personal Information
We collect information about you from your membership application or profile, as well as from your State Chapter (if applicable). We will also collect additional information during your membership about your interests, expertise, responses to surveys, attendance at events and other contact you have with us.
The information we collect includes:
Your name, contact details (branch, postal address, telephone numbers, email addresses) and chapter (if applicable). These are recorded in our database and transmitted to the ILA:

  • to administer your membership record (including updating your details);
  • to fulfil our obligations to you as a member;
  • to add your name to the list of Members that appears on the ILA website;
  • to contact you with information regarding ILA events either locally or internationally; to mail you any resources to which you are entitled (for example, copies of the Australian International Law Journal);
  • to provide you with information about offers available to ILA Members from Publishers and other organisations.

We will also add you to our members data base so that:

  • your details and your specific interests and expertise in areas of international law will be available on the member search facility only available to ILA Members via the Members Only portal; and
  • you may be invited to contribute to the work of relevant ILA Committees, Study Groups, and so that we have a picture of the range of areas of interest our members share.

Your membership of any ILA Committees and Study Groups allows your name to appear on the relevant list on the ILA’s website and in the published Conference Reports.
We keep financial records relating to the renewal of your membership (direct debit mandates, credit card slips). These records are kept for a limited period of 7 years to conform with financial regulations and are shared with third parties as necessary for the collection of fees. No sensitive card or bank payment details are stored in our database.
We will use your personal information for the purposes for which you provided it to us and any associated purposes described at the point where information was collected. In addition, we may also use your information for the following purposes:

  • to help us and other ILA members identify you and the membership you hold with us;
  • to administer your membership record, inform you of activities and fulfil our obligations to you as a member; and
  • to communicate with you generally.

Data relating to members and other affiliates is stored securely and is only accessible to authorised people. We do not store your personal information offshore but if you book for an ILA event outside Australia, your event booking may be shared with the ILA in the UK and the event organizer, wherever they may be located.

 

Data storage
Your personal information is stored in our database, which is stored securely, and access is restricted.  It is only accessible to authorised people within the ILA (AB) Management Committee.
Data is never shared with third parties without your explicit consent, unless required by law. Personal data is held for the duration of your membership and will be destroyed or de-identified when it is no longer needed for any purpose for which it may be used or disclosed under the Australian Privacy Principles.

 

Access to your data
You can access your data via the website and amend it yourself. Alternatively, you can request a copy of the data we hold in relation to you and request that the details be corrected, updated, or deleted by us on your behalf if you believe it is inaccurate, out of date, incomplete, irrelevant or misleading. If you make a request to access or correct your data, we ill handle your request subject to the qualifications and exceptions set out in Australian Privacy Principle 12.

If you wish to make a complaint about how we have handled your personal information, you may do so by contacting our secretary. We will acknowledge your communication within 7 days,  investigate your complaint within 30 days (subject to any practical constraints) and respond to you in writing with the outcome.
